Performance features of the GPC module
‘Fleet Management’
(Short description)


1. General
This Add-In-Module for SAP R/3-Systems offers to plan and administrate Means of Transport (Handling Units) for all types of MoT (truck, rail car, barge, container, ...) in the system. Beyond that it is possible to use all the functions of the equipment master (PM), which also means that the system is able to determine and automatically use the available and ideal MoT for each shipment. The planning can be processed on a multi-level base (e.g. a container is planned for a certain product, a rail car or a truck is planned for that container) as well as for several deliveries and MoT at the same time (e.g. complete train processing). If the planning is terminated the module can be used to process automatically – based on the available documents in the system – the renting and re-renting of MoT and the internal distribution of MoT cost for the company fleet. All the master data and application data are then available for tracking and tracing activities and for reporting functions (statistics).

2. Master data maintenance/customizing
2.1 Means of transport master
To administrate the MoT, the module provides four transactions: create (copy), change, display and list selection.
The module can handle very detailed defined MoT as well as ‘CPD – MoT’. Those are MoT which are used very randomly and which must not be defined in the master database. An integrated and flexible status management allows to block MoT for further actions or to mark MoT for subsequent functions (e.g. cleaning)

2.2 Condition technique for the planning
Both, the automatic and the manual planning of MoT is supported by the condition technique. This guarantees a high level performance and makes it impossible to use non-authorized MoT.

2.3 Check logic
To ensure that all the MoT determined by the condition technique are correctly used in the case of combination, GPC offers an additional check logic tool which executes individual checks together for all MoT and also includes the status of each MoT (e.g. cleaning confirmation, automatic coupling active, inspection is imminent). All the standard checks delivered by GPC can be easily enhanced by customer specific ones.

3. Processing
3.1 MoT planning

Already planned shipments can be processed with the automatic or manual MoT planning function. According to customizing for the MoT planning the module assigns one or more MoT to a shipment. Within the automatic planning the user can select one or several shipment documents on a list of all the shipments ready for planning. He then gets a MoT proposal which he can accept or change manually. A priority control allows to position certain MoT at a certain location on the list.
Within the manual planning the user can enter or select the MoT which should be used. Then the module checks the authorization. Further data (which cannot be determined automatically) can be defined (weight, volume, ...).
If a shipment has to be planned  in several levels and if the planning function is not terminated completely for each level, the shipment remains in the work list.
Naturally, an already terminated planning can be cancelled.
To display the planning results in a transparent way, the module offers a tool with which the terminated planning can be displayed in a hierarchical order.


3.2 Rent processing
Within the rent processing function the user can determine – based on all the existing system data – the rent, re-rent and internal costs of each MoT and transfer them to the appropriate cost objects (FI and/or CO). Therefore the module uses the stored contract data and the according transaction data of each shipment document. Based on this information the module determines the cost for each settlement period. The results are saved in SAP standard documents which are created during this action. These documents can then be processed within SAP Standard. The documents are:
  - Purchase order for renting costs
  - Customer order for re-renting costs
  - Internal service confirmation for internal costs


4. Others
4.1 Links to other GPC modules

The GPC module Fleet Management can be used as a base of information for the GPC module ZF-Processing. This was especially developed to use the data structures of the Fleet Management.
Also the GPC module Rail Management can be used together with the Fleet Management. The advantage here is that master data objects have to be maintained only once and – if required – more detailed MoT data is provided.
If the GPC module Freight statistics is installed, all the cost elements which are used within the renting and re-renting are available in the statistics. They can be used together with the delivery and shipment data to create informative statistic reports.
The module also contains several reporting programs which compress and display MoT related data like circulation time, cost, utilization ratio.
The MoT related history database can be used to store external information (tracking and tracing data).

4.2 Userexits
Userexits have been made available at certain points in the programs where customer specific functions are required but not available in the standard process.
